Breakfast CLUB & AFTER SCHOOL CLUB
Registration Forms must be completed via our registration page on our Website. A £25 pound registration fee will be added to you first invoice and this is non-refundable. (This is applicable to new bookings and registrations only from September 2024 onwards) All bookings will be confirmed via email in writing and these sessions will be ongoing unless you advise the Club otherwise. It is your responsibility to keep the Club updated with any information/changes such as contact details, medical conditions, dietary requirements etc. This must also be done in writing.
SEPTEMBER BOOKINGS/FEES (APPLICABLE TO ALL BOOKINGS)
Little Acorns Out of School Clubs Ltd opens in line with West Jesmond Primary School term dates. We are open and available for booking from the start of the first day of the School Term onwards. Although we are aware that some children have staggered starts back to School, in order for your booking to remain confirmed and active, all sessions must be paid for in advance from the start of the school term to secure your booking. September sessions are not eligible for a refund and our 14 day notice cancellation policy is not applicable to September bookings. As from October onwards, our 14 days notice cancellation policy will be available to everyone so if you want to cancel a session, this must be done in writing 14 days prior to the day/days you need to cancel to receive a credit on your next months invoice.
AD-HOC/EXTRA BOOKINGS
Ad-hoc bookings are welcome. However, this will be subject to availability. Please note, all requests for ad-hoc bookings must be made via email and paid in advance at time of booking. Once booked, these sessions are non-refundable. Ad-hoc sessions will be charged at the full rate of a Breakfast/After School Club + a 20% ad-hoc booking fee.
SIBLING DISCOUNTS
A 10% Sibling discount is applied to those who attend regular, weekly sessions. This discount will not be applied to ad-hoc/extra session bookings.
PAYMENT/outstanding fees
Invoices will be issued monthly on or around 20th of each month in advance via email and will include any additional fees due. Payment must be made and received by the due date shown on the invoice (last day of the month) If fees are not received on time a late payment charge of £10 will be added immediately to your account. If fees remain outstanding your child’s place will be cancelled.
INCREASE IN FEES
Little Acorns Out of School Clubs Ltd reserves the right to review fees annually.
CANCELLATIONS
Little Acorns Out of School Club Ltd require 14 days notice to cancel any registered places at Breakfast and/or After School Club. (Not applicable for sessions booked in September) This notice must be in writing. Any sessions cancelled with less than 14 days notice will not be eligible for a refund/credit on your following months invoice. Cancellation of Ad-hoc/extra bookings are subject to full charge and not eligible for refund.
ABSENCE
Where possible, please notify us in writing if you are collecting your child from School on a day that they are booked to attend the Club or if your child is absent from School for reasons such as sickness/holidays etc. Full fees will still apply to these sessions.
Collections/Drop-off of children
Children will be signed in and out of Little Acorns Out of School Clubs Ltd by a member of our team. Little Acorns closes at 17.55 prompt. If, due to unforeseen circumstances you are going to be late you MUST contact the Club Manager as soon as possible to let them know. If you do not collect your child/ren by 18.00 a charge of £10 per 15 mins, per child will be added to your account immediately.
SECURITY/PICK UPS
Under no circumstances will a child/ren be allowed to leave our care with anyone unknown to the Club staff unless previously arranged by the parent or guardian. It is your responsibility to inform us if anyone other than the registered parent/carer are collecting your child/ren from After School Club. This must also be done in writing. We will provide a password to you should this situation occur and the person collecting your child must give us this password before we will allow your child to leave our care.
PROPERTY & BELONGINGS
It is not necessary nor advisable for children to bring their own toys to our Clubs. Whilst we will try to ensure the safety and security of any such items, we will not accept responsibility should any loss or damage occur.
BREAKFAST/AFTER SCHOOL SNACKS
Breakfast will be provided for children attending Breakfast Club and a cold snack will be available for children in our After School Club. Please note, this is just a snack not a full hot meal. You must inform us of any dietary requirements, allergy information and/or any religious preferences your child may have and these will all be catered for. If you do not provide us with this information we will not be able to provide an alternative snack.
ACCIDENTS
If there are any accident or incidents involving your child you will be informed. If your child has an accident at Club, they will be treated by a qualified Paediatric First Aider. Some accidents may require you to sign an accident form. If your child needs urgent medical treatment all attempts will be made to contact parents and/or emergency contacts provided on your registration. Failing this we will require consent to act on behalf of parents to authorise any necessary treatments. By confirming your booking with us, you are also confirming your consent for us to act on your behalf should your child require urgent medical treatment and we have been unable to contact you or the emergency contacts you provided.
BEHAVIOUR MANAGEMENT
It is your responsibility to familiarise yourself with the Clubs Behaviour Policy. This policy is available to view on our ‘Key Policies Page’ on our Website. By confirming your booking with us, you are agreeing to the policies terms and conditions and appreciate, in some circumstances, it may be necessary for us to cancel your child/ren space due to continuous, unacceptable behaviour. We require children to follow our rules as they are in place for their safety and for the safety of others and failure to do this will result in the cancellation of your booking.
SAFEGUARDING CHILDREN
Information held by Little Acorns Out of School Clubs Ltd regarding your child will be treated as confidential. However, in certain circumstances, for example if there are child protection concerns you must be aware that we have a LEGAL DUTY to pass certain information onto other agencies, including police, social care and other health care professionals. We are committed to maintaining a safe culture that is child focussed through meaningful engagement with children, their families, communities and all representatives.
